Pre-check-in/online check-in:

Online check-in should take place no later than 4 weeks before vehicle collection (ideally immediately after booking). A valid e-mail address is required for this, to which the contract documents will be sent and must then be signed and brought along for collection.

To register online, you will need the Road Bear RV confirmation or reference number (if available, including -1 at the end) and the surname in which the vehicle was booked.

After completing the online check-in, you will also receive information about the pick-up and use of the vehicle by email in advance. This information includes a detailed video with a description of the motorhome.

Driving licence:

You will need the original official driving licence of all persons who are to be authorised as drivers. Legible copies (front and back) of the official driving licences of all desired drivers will also speed up the process.

Transfers:

The transfer to the factory in Middlebury/Elkhart will only take place from the Wyndham Chicago O'Hare hotel. The departure of the bus is between 6:00 am and 10:00 am, the exact time will be communicated to you by e-mail from the factory approximately 1 week before pick-up. Please be at the bus 15 minutes before departure. Depending on traffic and weather, the journey takes approx. 2.5 to 3.5 hours.

At the factory:

The bus driver will drive customers directly to the Road Bear RV office on the factory premises. You will find your name and pick-up time on the notice board in the office.

The customer area is restricted and Road Bear RV is only a guest on the premises. Please respect the factory employees' work area and stay in the designated customer area. Be aware that parking, driveway, waiting area and restrooms, etc. are shared with factory employees.

Vehicle pickup:

In order to pick up the RV, you will need the original driver's licences and passports of all drivers, your booking confirmation and a credit card (issued in the name of the primary renter) for the $1,500 security deposit. Prepaid credit cards, debit cards, cash and cheques are not accepted.

The pick-up of the vehicle will take place outside, please dress appropriately for the weather. As space is limited, not every family member will be able to attend and will be asked to remain in the waiting area. The vehicle handover will be in English, a German-speaking handover cannot be guaranteed.

Please note that there is no GPS available in the vehicles.

Accompanying yourself to the factory:

If you have completed the online check-in as described above, you also have the option of travelling to the factory on your own to pick up the campervan. Please contact Road Bear RV staff one week in advance to confirm the exact pick-up time and location.

At the factory, please follow the signs to Road Bear RV. At the office, your driving licences will be checked and any outstanding balances reconciled before the rental agreement is issued. The vehicle will then be explained, inspected and the keys handed over.

Winter Festival:

The pick-up takes place in an area known for long, cold winters. Temperatures below freezing, even during the day, are not unusual in February/March. Snow and/or rain can occur daily. Please pack and dress accordingly. For this reason, all vehicles are winterised. This means that the water/waste water system is empty and CANNOT be used until temperatures are above freezing! Please be particularly careful if temperatures subsequently drop below freezing again. Any damage to the water pipes caused by freezing will be charged to the customer on delivery.

A fee of $100 may be charged on return in Seattle if you have used the water system to winterise the vehicle again.

Our tip: Drive south as quickly as possible and then through the southern states to the west coast.
